Have your transfers been recorded?

Maintaining accurate NLIS records that reflect all livestock movements onto and off your Property Identification Code (PIC) plays a critical role in maintaining lifetime traceability of Australia’s red meat supply chain.  

When you're consigning livestock, you should always check that the devices have been transferred off your PIC in the NLIS – this will help you maintain an accurate record of the animals on your property.

Protecting lifetime traceability  

When you’re receiving livestock, you should always ensure the transfer is completed in your NLIS account or you risk losing the animals’ lifetime traceability and potentially running into issues when trying to consign those animals at a later date.  

If your agent or saleyard usually completes your transfers, you can check the transfer has been recorded by logging in to your NLIS account and selecting the “Livestock transferred onto PIC (device report)” option from the “View/generate all reports” dropdown menu on the homepage.

Why are PIC reconciliations important? 

  • They ensure your NLIS records are accurate and up to date, and help reduce the frequency of NLIS warning messages for livestock you no longer own but which continue to appear on your PIC due to missing transfers.
  • They assist the police and stock squad to accurately identify livestock of interest where suspicious transfers have occurred or where livestock have been stolen.
  • They can assist with insurance claims relating to livestock deaths/losses due to natural disasters and business/livestock valuation for federal government tax claims.
  • If you wish to be EU accredited, PIC reconciliations must be completed annually to uphold EU eligibility requirements.

Undertaking a PIC reconciliation 

1. Obtain the list of active devices currently on your PIC by: 

  • scanning the electronic numbers (RFID) or manually recording the visual numbers (NLISID) of the devices already applied to your livestock
  • using the ‘Devices purchased’ report in your NLIS account to identify devices purchased but not yet used. 

2. Once you have a complete list of active devices, you can upload this information to the NLIS by using the ‘PIC reconciliation’ function on your NLIS account by: 

3. Once you have uploaded the devices to the NLIS database, you will receive an email with the outcome of the PIC reconciliation and outlining any next steps required to reconcile devices on your PIC (together with instructions). This may include:

  • Devices are active and registered to the PIC: These devices are correctly registered to your PIC.
  • Devices are active but not registered to the PIC: These devices are not currently registered to your PIC in the NLIS database, and you will need to transfer them onto your PIC via the NLIS. You can dismiss any devices that have already been transferred off your PIC to a PIC number you recognise.
  • Devices to be made active: You will need to re-activate these inactive (IA) devices by turning the IA status OFF.
  • Devices to be made inactive: You will need to de-activate these active devices turning IA status ON.
